This Refund Policy applies to tickets and passes purchased directly through an official Toronto AI Week™ checkout operated by Toronto AI Week. It should be read together with the ticket description, checkout terms and Terms of Use. If a specific ticket offer expressly provides different refund terms, those product-specific terms apply to that purchase to the extent permitted by applicable law.
1. General policy
Unless a ticket offer expressly states otherwise, ticket purchases are final after payment except where Toronto AI Week™ approves a refund, where an event cancellation or material rescheduling gives rise to a refund under this policy, or where applicable law requires a refund or other remedy. Please review event dates, access level, eligibility, included benefits and checkout details before purchasing.
2. Event cancellation
If Toronto AI Week™ cancels the event covered by your ticket and does not provide a replacement date, substantially equivalent replacement event or other remedy accepted by you, eligible purchasers will be offered a refund of the eligible amount paid for the affected ticket, subject to applicable law and the terms presented at purchase. Any treatment of third-party processing charges or non-refundable fees will be disclosed and will only be applied where permitted by law.
3. Event rescheduling
If the event is rescheduled, the original ticket will ordinarily remain valid for the replacement date. For a material date change, Toronto AI Week™ may provide a reasonable option such as retaining the ticket, transferring it where permitted, receiving an event credit, or requesting a refund. The specific remedy and request window, if any, will be communicated to affected purchasers.
4. Speaker, agenda, venue and programme changes
Conferences and technology weeks involve evolving programmes. Changes to an individual speaker, session, room, agenda time, partner, sponsor, event format or similar programme element do not by themselves create an automatic refund right unless the change amounts to a material failure to provide the purchased service, the purchase terms expressly provide otherwise, or applicable law requires a remedy.
5. Unable to attend, no-shows and travel issues
Except where required by law or expressly approved, refunds are not automatically available because an attendee can no longer attend, misses the event, has a scheduling conflict, experiences transportation or accommodation disruption, or incurs travel, visa, immigration or other third-party expenses. Attendees are responsible for making their own travel and accommodation arrangements unless a package expressly states otherwise.
6. Transfers and attendee-name changes
If transfers or attendee-name changes are permitted for a ticket type, using that process may provide an alternative when the original attendee cannot attend. Transfers must be completed through the method communicated by Toronto AI Week™ and may be subject to eligibility, identity, access-level or deadline requirements. A transfer does not create a duplicate ticket.
7. Duplicate purchases and transaction errors
If you believe you were charged twice for the same intended purchase or that an obvious transaction error occurred, contact us promptly with the purchaser name, order number and relevant transaction details. We will review the records and correct confirmed duplicate or erroneous charges as appropriate.
8. Promotional, complimentary and discounted tickets
Complimentary passes have no cash refund value. Refunds for discounted or promotional tickets, where approved or required, are based on the eligible amount actually paid rather than the undiscounted list price. Promo codes and promotional benefits are not redeemable for cash unless expressly stated.
9. Admission denied or credential revoked
A refund is not automatically due where admission is denied or a credential is revoked because of confirmed fraud, counterfeit or duplicated credentials, material violation of event or venue rules, harassment, unlawful conduct or another serious breach attributable to the attendee, subject always to applicable law and the circumstances of the case.
10. How to request a refund
Submit a refund request through our Contact page and include the purchaser name, order number, ticket type, email used for purchase and the reason for the request. We may ask for additional information reasonably necessary to verify the order or assess eligibility. A request is not approved until confirmation is provided by Toronto AI Week™ or the payment processor.
11. Approved refunds
Approved refunds will ordinarily be sent to the original payment method through the payment processor. Processing and posting times are controlled in part by payment providers and financial institutions. Once a ticket is refunded or cancelled, the associated credential becomes invalid and cannot be used for admission.
12. Partial refunds and credits
Where appropriate and permitted by law, Toronto AI Week™ may offer a partial refund, event credit or other remedy instead of a full refund for a partially delivered service or other circumstances. Any offered remedy will describe its value, scope, restrictions and expiry, if applicable.
13. Chargebacks and payment disputes
If you believe a charge is incorrect, we encourage you to contact us first so we can review the order. Nothing in this policy prevents you from using lawful rights available through your card issuer or payment provider. Fraudulent or abusive payment disputes may result in cancellation of the associated credentials, subject to applicable law.
14. Statutory rights
This policy does not limit refund, cancellation, disclosure or other consumer rights that apply and cannot lawfully be waived. Where applicable law provides a greater right or remedy than this policy, the mandatory legal requirement will apply.
15. Changes to this Refund Policy
We may update this policy for future purchases. The policy applicable to a completed purchase will be determined by the terms presented at purchase together with any mandatory rights under applicable law. The date at the top identifies the current website version.
